Select AI helps galleries and online art marketplaces guide buyers through their collections. This Privacy Policy explains how personal data is handled when you visit selectai.ge, contact our team, manage a business account or interact with a Select AI assistant on a customer’s website or connected communication channel.
1 About Select AI
The service is operated by Select AI LLC, a limited liability company registered in Georgia, identification number 404821485. Our registered address is Georgia, Tbilisi, Mtatsminda district, Zurab Zhvania Street, No. 4, apartment 4.
You can contact us about this Policy or your personal data through support@selectai.ge. Please identify your message as a privacy request and, where relevant, name the gallery or marketplace whose assistant you used. You may also write to our registered address.
2 When we act as controller or processor
For visitors to selectai.ge, people contacting our team and customer account users, Select AI acts as controller of the personal data used for our own website, business communications, account administration, billing and security. This means we determine the purposes and means of that processing.
When you use a Select AI assistant provided by a gallery or art marketplace, that business normally acts as controller of your buyer information. Select AI acts as its processor, handling information on its documented instructions under a data processing agreement. The gallery decides how the assistant is configured and how it uses enquiries and buyer information. Its privacy notice applies to those activities.
This Policy describes our handling of buyer information for transparency. It does not replace the gallery’s privacy notice or the data processing agreement. If we determine a separate purpose for particular data, our controller obligations apply to that processing.
3 Information we handle
The information involved depends on the feature used and what you or the customer provide.
Website enquiries and business accounts may include your name, email address, organisation, role, account credentials, permissions, subscription details, billing information and correspondence with our team. Our contact form also asks about your business type and the help you need. Payment information is processed according to the payment method used and the requirements of the relevant payment provider.
Buyer conversations and discovery requests may include messages, search terms, preferred styles, colours, artists, subjects, materials, budget, dimensions, intended room and reason for purchasing. We also process the assistant’s responses, recommended artworks and relevant conversation context.
Enquiries and human handover may include a buyer’s name, email address, telephone number, requested artwork, questions and conversation summary, where provided or made available through a connected channel.
Room visualizations involve the uploaded photograph, the selected artwork and the generated preview. A photograph may contain personal information about people, possessions or a private space. Upload only images you are entitled to use, and avoid including faces, addresses, documents or other unnecessary personal details.
Connected social media and messaging channels may provide messages, profile names, account identifiers and other information allowed by the platform and the permissions granted. We access information relevant to the authorised integration, rather than all information held in a social account.
Customer catalogues may contain artwork images, titles, prices, availability, artist names, biographies and other material supplied by the gallery or connected catalogue source.
Technical information may include IP address, browser and device information, session identifiers, timestamps, usage counts, integration activity, error records and security logs. Optional analytics or similar tracking depends on the tools enabled and any required consent.
We obtain information directly from individuals, their devices, authorised customer account administrators, customer catalogues and connected platforms. Art discovery does not require health information, identification documents, payment card details in chat or other sensitive personal data. Please do not submit them.
4 How information is used
As controller, we use relevant information to answer enquiries and arrange demonstrations; create and administer accounts; provide customer support; manage subscriptions and payments; send service notices; protect the website and service; investigate errors or abuse; and fulfil legal and record keeping obligations.
Our legal basis depends on the purpose. It may be performing a contract with you or taking steps you request before a contract, complying with a legal obligation, your consent, or a legitimate interest in operating and protecting our business that is not overridden by your rights. Where you act for a business customer, account administration may rely on our legitimate interest in managing that business relationship rather than a contract with you personally.
Where a collection form requests consent for a stated purpose, that consent applies to that purpose. Marketing communications require the applicable consent and offer a way to withdraw it. Answering an enquiry or sending a necessary service notice does not automatically subscribe you to marketing.
For gallery customers, we process buyer information to understand the request, recommend artworks from the customer’s connected catalogue, explain recommendations, answer questions, create requested visualizations, capture enquiries, support human handover and generate the buyer insights included in the configured service. The customer is responsible for establishing the legal basis and giving the buyer appropriate information.
Mandatory fields are identified in the relevant form or account process. Without information necessary for a response or feature, we may be unable to provide it. Optional choices, including marketing consent, are not a condition of receiving the core service.
5 AI processing and buyer insights
Select AI uses AI models and related systems to interpret requests and generate responses or images. Relevant messages, catalogue material, conversation context and uploaded photographs may be transmitted to the providers supporting the requested feature.
Buyer insights may include expressed or inferred artwork interests, preferred styles, budget ranges and indications that a buyer may wish to enquire or speak with the gallery. These are contextual estimates and can be inaccurate. They support artwork discovery and follow up; they are not assessments of creditworthiness, personal character or financial reliability.
The service is not intended to infer sensitive characteristics from art preferences or room photographs, identify people through biometrics, or make decisions with legal or similarly significant effects. A gallery should not use the service for those purposes.
Customer buyer data is processed for the customer’s configured service under its instructions. Use of the service does not grant Select AI or an AI provider permission to use buyer conversations or photographs for unrelated marketing or general model training. Any additional processing must have an appropriate legal basis, required notice and contractual authorisation. Information about providers and applicable processing arrangements is available through our contact page and the customer’s data processing agreement.
Where we use aggregated statistics to improve service reliability or understand usage, information must be anonymised so it cannot reasonably identify an individual. Removing a name alone does not make information anonymous.
6 Sharing and recipients
A gallery or marketplace receives the buyer information relevant to its own assistant and authorised features, including enquiries and information needed for human follow up. Its authorised team members may review relevant conversations and insights.
We use providers in categories such as hosting and cloud infrastructure, databases, AI and image processing, communications, security, monitoring, technical support, analytics and payments. Relevant information is disclosed only as needed for the provider’s function and subject to the applicable contractual and legal requirements. Providers acting on our behalf must be subject to appropriate data protection obligations. Payment and communication platforms may also process information independently under their own notices.
Information may be disclosed to professional advisers under confidentiality, authorities where legally required, or parties involved in a business restructuring or acquisition subject to appropriate protections.
These service arrangements do not authorise selling buyer information, sharing one gallery’s identifiable buyer information with another gallery for its marketing, or redirecting buyer enquiries to another seller for a separate commercial purpose. Any separately offered referral service would require its own arrangements, transparency and lawful processing basis.
You can request information about relevant providers and processing locations through support@selectai.ge. Customer specific processor details and authorisations are addressed in the applicable data processing agreement.
7 International processing
Select AI is established in Georgia. Depending on the providers and integrations used, information may also be processed in other countries where those providers operate.
International processing must meet applicable transfer requirements. These may involve an adequate level of protection, contractual safeguards, regulatory authorisation or another lawful transfer mechanism, depending on the information, destination and governing law. EU transfer mechanisms, where relevant, do not replace separate Georgian requirements.
Customers can obtain details of the destinations and applicable safeguards through their data processing agreement or by contacting us. Individuals can request information about safeguards relevant to their data, subject to lawful confidentiality restrictions.
8 Cookies and similar technologies
The website and service may use cookies or similar technologies for essential functions such as session management, authentication, security and retaining a user’s choices. Optional analytics, advertising or similar technologies require separate information and consent where applicable before they are used.
You can control cookies through your browser and any consent controls presented on the relevant website. Blocking essential technologies may affect service functions. Declining optional tracking should not prevent ordinary website access. Accepting our Terms or starting a conversation is not, by itself, consent to optional tracking or promotional messages.
A gallery’s website or connected social platform may use its own cookies and technologies. Its notice explains those practices.
9 Retention and deletion
We keep personal data for the period needed for its purpose, subject to applicable legal obligations. The following criteria apply:
Enquiries and business correspondence are kept while we respond, manage a relevant business relationship or address a related issue. They are deleted or anonymised when no longer needed, unless a legal obligation or claim requires retention.
Account information is kept while the account is active and, after closure, only to complete outstanding administration or meet legal requirements.
Billing and transaction records are kept for the periods required by applicable tax, accounting and other record keeping laws.
Technical logs are kept for the period needed to investigate faults, protect security and establish relevant service activity. Incident related records may be retained longer where necessary to investigate or address a claim.
Buyer conversations, enquiries, uploaded photographs, generated previews and related insights follow the customer’s documented retention instructions and data processing agreement. Their retention is not determined solely by whether a buyer has created an account.
When the customer relationship ends, return and deletion of personal data follow the data processing agreement and applicable law. Limited copies retained under a legal obligation remain protected and restricted to that purpose. Where backup copies remain temporarily, they must be protected and removed through the applicable deletion cycle, with deleted information prevented from being reintroduced into ordinary use.
Disconnecting a channel stops future access through that integration but does not necessarily erase information already stored. Please direct deletion requests to the relevant controller or contact us for assistance.
10 Security and incidents
We apply technical and organisational safeguards appropriate to the nature of the data and the risks of processing. These include controls designed to restrict access to authorised people, protect service communications and maintain confidentiality. Specific customer security requirements may be agreed in the data processing agreement or service order.
No system is completely secure. We investigate personal data incidents and notify affected customers, individuals or authorities where required by applicable law and our contractual obligations. When acting as processor, we assist the customer in meeting its own obligations. Customers must also protect their account credentials and the systems they connect.
11 Your rights
Subject to applicable law, you may request information about processing, access and copies, correction, deletion, restriction or blocking, and portability where available. You may object to processing where the law provides that right, and withdraw consent without affecting earlier lawful processing.
Submit requests through support@selectai.ge or write to our registered address. We may request proportionate information to verify your identity and locate the relevant data. We respond within the legal deadline applicable to the request and explain any lawful refusal or extension.
For information controlled by a gallery or marketplace, contact that business directly. If you contact us, we will direct the request appropriately and assist the customer where required. A gallery’s privacy notice may provide additional contact options.
You may complain to the State Audit Office of Georgia, which supervises personal data protection, or seek a remedy before a competent court. Authority information is available at https://sao.ge. Where another jurisdiction’s privacy law applies, you may also have a right to complain to its competent authority. You do not need our permission to exercise these rights.
12 Children
Select AI business accounts are intended for adults. We do not direct the website or service towards children or request children’s personal data for ordinary art discovery. A customer whose deployment may involve children must assess applicable age, consent and notice requirements and apply appropriate safeguards.
If you believe a child has submitted personal data inappropriately, contact us or the relevant gallery so that it can be reviewed and appropriate action taken.
13 Changes and contact
We may update this Policy to reflect changes in the service, processing practices or legal requirements. The latest version carries the date shown above. We provide appropriate notice of material changes and obtain any new consent required by law. Publishing an updated policy does not itself authorise an unrelated new use of personal data.
